Studio Operations Coordinator

Hybrid — Laguna Beach / Los Angeles + Remote

Linette Dai Design is seeking an Studio Operations Coordinator to support the day-to-day rhythm of our boutique interior design studio. This hybrid Laguna Beach/Los Angeles + remote role is ideal for someone in Orange County or southern LA County who is highly organized, communicative, tech-savvy, and enjoys contributing to a fast-paced yet thoughtful environment.

Responsibilities

You’ll play a meaningful role in helping our studio run smoothly by supporting a variety of operational, administrative, and organizational tasks as listed below. You do not need prior experience in every area — we’re looking for someone proactive, detail-oriented, and willing to learn.

Studio Operations

  • Manage email correspondence and organize communication channels

  • Maintain and update the studio calendar; coordinate meetings

  • Organize documents, digital files, and client deliverables

  • Assist with project dashboards, workflows, and studio organization

  • Support the development of internal systems and templates

Client & Inquiry Management

  • Serve as the first point of contact for new inquiries with warmth and professionalism

  • Share studio materials, gather client information, and coordinate consultations

  • Prepare onboarding materials and follow-up communication

  • Uphold the studio’s refined brand voice in all client-facing interactions

Business Development & Backend Support

  • Maintain outreach lists, press contacts, partnership logs, and awards calendars

  • Organize BD documents, templates, notes, and follow-up trackers

  • Prepare simple research summaries for potential collaborators or opportunities

  • Support scheduling, follow-up emails, and backend coordination for interviews, press, and industry events

  • Track reminders, pending outreach, and touchpoints so nothing falls through the cracks

  • Maintain organized digital folders for BD materials, submissions, and PR assets

Digital & Tech Support

  • Update the studio website and online account profiles as needed

  • Maintain organization of digital assets across shared drives and platforms

  • Assist with formatting templates, PDFs, or simple document layouts

  • Learn new software and AI tools quickly; troubleshoot basic tech issues

Studio Support & Field Assistance

  • Attend site visits as needed to take notes, document progress, and support the design team

  • Assist with photographing or video recording site documentation (simple capture only)

  • Pick up samples, materials, and small items needed for projects

  • Deliver materials or documents to clients, vendors, or trades

  • Support the team during installs or walkthroughs

  • Provide general in-person assistance (organizing, errands, small tasks)

Administrative Tasks

  • Issue monthly invoices and process payments

  • Maintain spreadsheets, budgets, and administrative records

  • Provide day-to-day support across operational and organizational needs

Qualifications

Candidates must meet the following minimum requirements:

  • 2–3+ years of relevant administrative, operational, or coordination experience (creative industry experience is a bonus but not required)

  • Valid driver’s license, reliable car, and current auto insurance (regular travel to Laguna Beach, Los Angeles, and job sites is required)

  • Exceptional written and verbal communication skills

  • Strong proficiency in Google Workspace, shared drives, spreadsheets, and general tech tools

  • Comfort learning new software and AI tools quickly

  • Ability to work independently, maintain confidentiality, and exercise strong professional judgment

  • Ability to lift and carry small items (samples, materials, etc.) as needed

  • Must be based in Orange County or southern LA County for hybrid availability

Hours & Work Style

  • Approx. 20 hours/week (may fluctuate based on studio needs)

  • Hybrid: remote work + in-person studio days in Laguna Beach as needed

  • Availability to travel within Orange County or Los Angeles for meetings, pickups, or site visits

  • Compensation based on experience

  • As the studio grows, opportunities for expanded hours or a future full-time role may become available
